Admission

United International Private School LLC is a friendly and welcoming school that is firmly grounded with philosophy in strategic and decisive education with wellbeing at its very core. It is an inclusive school that adheres to the Federal Law no. 29 of 2006, governing admission to schools and other educational establishments. Our approach is to develop a fully inclusive learning environment following the KHDA’s policies on Inclusion. We are here to provide support and to help our students to find their purpose nonetheless to ensure that they are safe and prepared for the future.





Process
A. SEAT RESERVATION

The applicant is required to fill-up and submit a seat reservation form. Reservation form is available at reservation; a seat reservation fee should be settled in the Finance Department.

In the event that the old student applicant failed to reserve a seat based on the given deadline they will be placed automatically in the waiting list. Waiting list candidates are numbered on a first-served basis. The Admission and Registration Department will then be informing the parents of the applicant as soon as there's seat availability.

The school reserves the right to withheld or not accept reservations of students for the following academic year if their parents deliberately not paying on time in their child school fees and/ or the students is recommended by the Guidance Department (upon consultation and deliberation) with the approval of the School Principal due to behavioral, learning difficulty, and/ or students with educational needs and disability (SEND) concerns.

B. ASSESSMENT PROCEDURE FOR NEW STUDENTS

An applicant is subject to individual holistic assessment using the following evidences of performance:

  • Academic record
  • Admission results
  • Deportment
  • Interview
  1. Applicants are required to attend a face-to-face assessment at the school, following the schedule provided by the Admission and Registration Department.
  2. The Assessment Committee will comprise teachers, the Guidance Department, and the SEND Department.
  3. During the scheduled assessment, the Admission and Registration Department will provide an Assessment Report Form to the guardians of the student applicants, who will then fill out the necessary information. If the student applicant is a student of determination, the SEND Declaration Form must also be completed. If, in case the parent does not declare, the school reserves the right to forfeit the enrollment.
  4. The student applicants will proceed to the assessment area with their Assessment Report Form and log their attendance at the registration counter. Subsequently, they will be assisted according to their grade level.

  1. The Written Examination includes age-related placement tests.
  2. The Socialization involves informal interactions between the teacher and the child through play-based activities and conversations, assessing the child’s language, communication skills, behavior, and ability to follow instructions.
  3. The Interview comprises questions designed to evaluate the applicant’s Knowledge of Self, School Readiness, Language and Communication, Behavior, and School Background.

    The assessment result will be available after five (5) working days. The Admission and Registration Department will send the results to the parents through their provided email.
    They will receive a notice such as the following:
    1. 'Passed' - if the applicant met all the requirements and successfully completed the assessment procedure. The applicant may proceed with enrollment.
    2. 'Did Not Meet Expectations' – if the applicant did not meet the requirements based on the assessment. The applicant will be placed on the Waiting List with no assurance of enrollment.
    3. 'For Further Assessment' - if the applicant was unable to independently finish the assessment due to behavioral, emotional, and/or communication concerns. The applicant will be scheduled for further assessment by the SEND Department.
    ⮚ IF THE STUDENT APPLICANT IS "For Further Assessment" BY THE SEND DEPARTMENT, the following procedure shall take place:
    1. The reassessment will be conducted by the SEND Specialists.
    2. The parents will be oriented on the additional requirements to be submitted within two (2) weeks. Additional requirements could be one or more of the following:
      1. Psycho-educational Assessment (not more than 36 months),
      2. Medical report (not more than 6 months), and/or
      3. Therapy report (not more than 6 months).
    3. Failure to submit will automatically forfeit their slot.
      1. Once the additional requirements are submitted to the SEND Department, a program tailored to support the student’s needs will be created and will be discussed with the parents. This will be based on the results of the in-school assessment and the external psycho-educational assessment.
      2. If agreed on, the parents will sign the Memorandum of Agreement (MOA)
    4. After the MOA has been signed by the parents, the results of the reassessment will be sent to the parents through their provided email and can now proceed to enrollment. A copy of the email will be furnished to the Admission and Registration Department for reference.
The assessment results are decided by the members of the Admission Committee. All assessment documents, results, and assessors’ comments remain the property of United International Private School LLC.

C. SCHOOL DOCUMENTATION

  1. The parent(s) must provide all the required documents to complete the student's registration. The admission requirements can also be found in the admission brochure or in the school website.
  2. It is the responsibility of the parents to provide the school with copies of all medical, psychological or educational assessment or reports before the entry to the school. Such materials are prerequisite in enabling us to provide the best education for your child. Failure to disclose such information, including the deliberate withholding of information, may result your child not making the expected progress in school.
  3. Parent/s must provide the school if there is any medical assessment or medical diagnosis pertaining to the child’s development for the school to provide an appropriate intervention relevant to the needs of students of determination. (Please refer to the Entry-assessment and admission procedures for students of determination section for further details.)
  4. The parent(s) should submit all the documents correctly, authenticated and complete. They should inform the Registration Department of any changes in contact details, address, residence visa, etc.; the school will not be responsible for incorrect or missing document(s) that may result to non-registration with the Knowledge and Human Development Authority (KHDA).
  5. The parents are responsible for any kind of charges/penalties imposed by the KHDA in the event of delay or non-compliance of the required documents within the stipulated time for their child registration in KHDA. Students with incomplete documents are considered as temporarily enrolled in a given time frame. Failure to submit all the required documents within the time frame given to them may result to the nullification of their enrollment. The school may also take other legal actions as deemed necessary according to the prevailing rules and regulations of Dubai.

D. RECORDS KEEPING & RELEASING

Students' records are filed in the Admission and Registration Department and are kept confidential. Access to these records is available to parents/guardians upon a written request and duly accomplished forms. It is the policy of the school to hold all records unless the student's clearance is submitted and duly sign by all authorized signatories.

Requested student record will be processed within five(5) working days. Furthermore, the student's annual permanent records and/or other related documents that need permission/authenticity from KHDA may not be released or can be delayed based on the date of the approval.

SCHEDULE OF FEES

Tuition, and other school fees can be paid in full, 3-terms, 4 Payment or monthly installments. Payment transactions must be done only at the Account's Department.

The school offers payment schemes such as online payment (debit or credit card), cash and cheque. In the event that the parents have not settled their child's account on the specified due date, the school, at its discretion will impose actions as deemed necessary.

DISCOUNT POLICY

SIBLING POLICY:
It is the policy of the school that siblings shall receive discounted fees. The deductions apply to school fees only and do not include other school fees stipulated in the KHDA contract. This is a binding promise for the current academic year and until otherwise specified in another binding school- parent contract. Deductions are to be calculated as follows:

ADMISSION POLICIES
Withdrawal/Transfer

Notice of dropping out from class or transferring to other schools should be given in writing by the parent or guardian to the class adviser for onward transmittal to the Registrar’s Office, Account’s Department and the Principal. The UIPS requires at least 10-day notice if the student will immediately need school credentials, transfer records and clearance.

For any inquiries regarding refund of fees please coordinate with the Account’s office.

Student’s Dismissal

Intentional violation of the rules of the school is tantamount to disciplinary measures which include school service projects (community service) or suspension from classes. In extreme cases the student may be expelled from school in agreement with the Ministry of Education.

Travel Leave

Travel leave must be scheduled during school breaks. However, as per the Knowledge on Human Development Authority (KHDA) rules and regulations, a student can be absent for three days only in case of emergency cases like death of relative, sickness, accident and those who will personally take the admission test in the Philippine universities/colleges.

Students who plan to go on travel leave will be asked to submit a letter of intent from parents/guardians to the child's adviser stating the purpose of travel and duration of the trip for approval. In case, the scheduled periodic examination coincided with the travel leave of the student, the student shall not be given an early examination. Therefore, the student shall take the examination as soon as the student attends his class. Students on a travel leave may be asked to keep a journal of their activities. School works may also be required from the students to accomplish while on leave.

Request for Student Certification/Records

The procedure for obtaining students certification/records should be requested from the Registration Department in person. They should be requested well in advance of the date desired. No request will be issued for students certification/records who have not cleared their financial obligations to the school. A fee for immediate processing is charged for each transcript, payable at the time of request.

The buses shall pick up and drop off the students from their respective home addresses only.

SCHOOL BUS TRANSPORTATION GUIDELINES

In order to ensure the safety of our students, the following rules must be observed:

WHEN MEETING THE BUS, THE STUDENTS MUST:

  • be on time or at least five minutes before the regular pick up;
  • not be engage in playing or other activities that will endanger themselves or their companions while waiting for the bus;
  • board the bus in an orderly manner; and,
  • be accompanied by parents or guardians to and from designated waiting area.

WHEN INSIDE THE BUS, THE STUDENTS MUST:

  • be courteous and must obey the instructions of the bus driver and the bus assistant;
  • go directly to the assigned seat, remain seated and wear their seat-belts(front seat) throughout the bus journey or while the bust is in motion;
  • keep the aisles and walkway clear at all times;
  • avoid bad/indecent languages and gestures;
  • refrain from being extremely noisy;
  • avoid aggressive behavior leading to bullying and fighting;
  • not mark or deface the bus; obscene writing or drawing is thus prohibited;
  • not throw objects, shout or be verbally or physically abusive towards others;
  • not bring friends onto the bus;
  • not open windows of the bus;
  • bot consume food or beverages;
  • not use or bring electronic gadgets;
  • be aware that no change will be made in the location of the bus route without the approval of the person in authority;
  • be seated on designated area; and
  • avoid sleeping inside the bus

WHEN LEAVING THE BUS, THE STUDENTS MUST:

  • remain seated until the bus comes to a full stop.
  • get off the bus in an orderly manner.
  • always cross in front of the bus.

PICK UP AND DROP OFF

  • The bus bulletin board will be on display starting from the first day of classes. Any concerns about the list should be coordinated with the Bus Service Department immediately.
  • To facilitate the schedule of pick up and drop off of students, the parents must provide the bus coordinator with their address, location map, telephone, fax numbers and e-mails thru letter address to the Transportation Department.
  • For Kindergartens 1, 2, and Grade 1 pupils, only one parent/guardian shall be allowed to accompany the child on the bus during the first day of the classes.
  • Parents of the students who are not living along the regular bus route must coordinate with the assigned bus assistant(nanny) and bus coordinator for the designated pick up and drop off, changes in address and telephone numbers should be coordinated immediately to bus assistant/nanny in writing.
  • A three-minute waiting period is allotted in every pick up point. After the given time, the driver shall leave the place to avoid delays in the trip. Thus, it is encouraged that child must be in pick-up point at least 5 minutes before the arrival time.
  • Drivers are not allowed to answer phone calls as per RTA rules. For any concern regarding the bus please contact the bus assistant/nanny.
  • To save time and energy and to administer proper service, special arrangements must be done through the bus nanny ahead of time; (a) if in case a student scheduled for pick up shall be absent or shall not take the school bus, (b) if parents would take their children to school but shall not be able to fetch the child after dismissal.
  • In the following cases, the parents must secure a permit from the School Principal and details must be forwarded to the Student Affairs Coordinator and Transportation Department: (a) if the student will be brought and fetched by the parents at a designated place; and (b) if the student wishes to ride another bus (the bus assistant or bus rider has the right to refuse the student to ride the bus if the student fails to show the permit), (c) if the parents themselves pick up student/s instead of riding the school bus.
  • In the event that the child is late, it shall be the responsibility of the parents/guardians to bring their child to school. If the parents would like to check their child inside the bus, they should call the bus assistant and not the driver.
  • All requests, concerns or complaints concerning the school bus transportation shall be referred to the Transportation Department for appropriate action.


CONSEQUENCES

The school bus rules and regulations are for your information and your child's benefits. The bus drivers and assistants are instructed to report to the Student Affairs Department of any infractions. Any student who failed to comply with the reminders above will be reprimanded and parents will be notified regarding the matter through a phone call or a disciplinary notice served by the Students Affairs Coordinator. For the first offense, the student will receive a verbal warning. If the student violates the rules and regulations again, a written warning shall be issued and/or conference with the parents/guardians shall be requested. Further violations would mean deprivation from riding the bus until the end of the school year.

As per RTA rules a student may be deprived from the school transport service if:

  • he/she causes the delay of the trip more that three times in one school year;
  • he/she violates any safety rule and endangers the lives of others during the trip;
  • he/she refuses to ride the bus from the assembly point previously approved by the school management;
  • he/she leaves the bus before reaching his/her designated place without prior permission from the person in authority; and
  • he/she continues causing disturbance and more than three written complaints were filed against him/her during one school year.
The school bus assistant(nanny) is not expected to give a call to the student/parent. It is the responsibility of the parents to take their children to the school bus or pick - up point on time.

PRIVATE PICK-UP (FETCHERS)

If a student has a private service, fetchers must be at the waiting area 10 minutes before the dismissal time. Students must be pick up on time. They are given 30 minutes only to stay in the car lift area after the dismissal to avoid inconvenience.

Assigned school personnel shall look after them for a maximum of 30 minutes only, after which, the school shall not be held liable for any untoward incident.

For child's safety, the school imposes the "three strikes policy" for parents who are not fetching their children on the scheduled picked up time. As a consequence, they must avail of the school bus service.



SCHOOL CALENDAR OF ACTIVITIES
